For this vacancy you’ll undertake a Business Administration Level 3 apprenticeship qualification; The responsibilities of the role are to support and engage with different parts of the organisation and interact with internal or external customers. With a focus on adding value, the role of business administrator contributes to the efficiency of an organisation, through support of functional areas, working across teams and resolving issues as requested. What do we look for in our apprentices?

  • You should have an interest and passion for your chosen apprenticeship pathway
  • You should enjoy problem solving and getting practical, hands on experience
  • You should be committed to learning and completing studies in your chosen pathway
  • You will have Maths and English Level 4-9 or equivalent/ Scottish National 5 certificates grade A to C and you should be able to provide certificates at interview

Business Support Associate

Central Government & Defense

Job Purpose

  • We are looking for an Business Administrator to support the Procurement, Commercial and Finance Teams with the implementation of a business change project
  • Provide support with Purchase Order Cleanse and Invoice Query Resolution including Supplier Statement Reconciliation

Responsibilities

  • Coordination of Supplier Statement Reconciliation
  • Investigation and closure of open Purchase Orders by liaising with Internal Teams and External Suppliers
  • Escalate, chase and resolve queries effectively and efficiently working with both external suppliers and internal operations team
  • Work closely with the Buying team and other internal teams to resolve aged PO disputes and queries
  • Work with Buying team to ensure that Purchase Orders amendments are made correctly with correct note of amendments and approved
  • To receipt Purchase Orders and process Supply Chain invoices for a UK Government contract
  • Supporting your line manager with other duties as applicable to assist with the Business Change Project
  • Attend relevant meetings as requested by Line Manager and the wider Senior Management Team and provide minutes
  • Provide support and undertake analysis of reports as required
  • Provide support and cover for the other Business Support Associate when required.
  • Maintain professional dialogue with suppliers and internal teams
  • Undertake numerous general administrative tasks as necessary

Knowledge Skills & Experience (Preferable but not required)

  • Previous history of administration and Supplier facing experience
  • Experience using Microsoft package especially MS Excel
  • Experience using Maximo, Coupa or other CAFM’s
  • Good knowledge of Facilities Management
  • Experience in reconciling statements, dealing with queries, resolution of issues
