The Role

Based in the School of History, Classics and Archaeology within the Armstrong Building, you will provide high quality administrative and professional support for undergraduate and postgraduate programmes within designated disciplines.
Under the direction of the Education Coordinator you will be responsible for tasks associated with updating modules, regulations, timetables, handbooks, PEC (Personal and Extenuating Circumstances), assignments/examinations, Boards of Studies/Boards of Examiners, in course administration and student progress and engagement (amongst other duties).

Key Accountabilities

  • To provide administrative support to the education function of the School, including administration of allocated degree programme(s), discipline(s) and supporting the relevant Degree Programme Director(s)
  • Responsible for checking and inputting amendments to annual documentation such as modules, regulations and programme specifications, and for ensuring up to date information is uploaded to the various University systems, i.e. SAP, MOFs, NESS, and Canvas
  • Responsible for checking and updating student data using University systems, including ensuring students are appropriately registered for modules as required and providing support in allocating students to a personal tutor
  • Responsible for coordinating events throughout the academic year, including Induction Week, module pre-registration meetings, fieldtrips and special events
  • Responsible for disseminating Student Support Plans to appropriate contacts
  • Receive and process Personal and Extenuating Circumstances requests, including the follow up actions and logging of outcomes
  • Maintain clear student records to support student engagement; monitor student attendance reports and non-submission of work and working closely with academic colleagues to identify students who may require additional support
  • Support the School Education Coordinator and Education Administrators with timetabling administration, including the gathering of data from academic colleagues and the resolution of queries
  • Responsible for collating submission dates for coursework and setting up submission points for assessments both in Canvas and in NESS
  • Responsible for collation of exam papers from academic colleagues, notifying markers of coursework for marking and processing the marks including logging extensions and transferring marks to relevant University systems (NESS, Canvas)
  • Act as Secretary to PEC Committees and Boards of Examiners, including agenda preparation, minute taking and monitoring progress of actions, as well as liaising with External Examiners.
  • Act as Secretary for the Boards of Studies, as well as other meetings as required, including where appropriate, discipline specific meetings and committees
  • Support the updating of programme handbooks
  • Provide support for tasks that are unique to a discipline or programme for example, assigning students to Reading History groups
  • To undertake any other duties with the scope and general nature of the grade which may be required

The Person (Essential)

Knowledge, Skills and Experience

  • High level of knowledge of the Microsoft Office suite of programs. Confidence using Excel, word and email in particular
  • High standard of recent administrative experience deemed relevant to this post
  • Excellent interpersonal skills and the ability to forge good working relationships with strong communication skills
  • Organisational skills, including managing many competing deadlines
  • Ability to proof read to a high standard
  • Ability to write clearly, concisely and correctly
  • Ability to understand, interpret and explain complicated policies and regulations, both orally and in writing to a wide range of audiences
  • Good secretarial skills, including the ability to write minutes is desirable
  • Ability to work on own initiative with minimum supervision and as an active and communicative member of a team

Qualifications

  • Educated to GCSE standard or equivalent with A-C in Maths and English or significant administrative experience
