Administrator
Administrator – Arlington Care Home, North Parade, Belfast
Part time – 20 or 25 hrs a week
Location – 5 days a week on site

As an Administrator at Macklin Care Homes, you will play a pivotal role in providing comprehensive administrative support, including HR Administration and Finance functions. Additionally, you will be involved in managing specific projects to contribute to the continuous improvement and growth of our organization.
Essential Requirements:
- Exceptional command of spoken and written English, with a valid work permit.
- Proven 2 years of experience in a dynamic office environment.
- Demonstrated 2 years of providing high-quality administrative support.
- GCSE qualifications in English & Maths.
- Proficient use of Microsoft Office applications, particularly Excel.
- Previous experience in reception duties.
Desirable Skills:
- Previous experience in HR and Finance administration.
- Reception experience in a caring environment.
- Previous payroll experience.

About the role
As a key member of the Macklin Care Homes team, the successful candidate will deliver comprehensive administrative support, including HR Administration and Finance functions, and actively contribute to specific projects. Key responsibilities include building effective relationships, implementing and adhering to policies and procedures, and managing various administrative tasks to support the overall functioning of the home.
Duties and Responsibilities:
- Establish and cultivate effective relationships with staff and management at all levels.
- Work collaboratively with management and Directors to ensure adherence to policies and procedures.
- Manage receptionist duties, answering phones, and greeting visitors.
- Coordinate and administer duties to support recruitment and selection processes.
- Maintain and update HR software, collating weekly and monthly reports.
- Manage personnel records, training records, and training plans.
- Support HR function within the home through various administrative duties.
- Update and manage databases efficiently.
- Coordinate cover arrangements for off-duty rotas.
- Handle the ordering of stationery.
- Collaborate with relevant bodies to ensure accurate billing and up-to-date resident contracts.
- Liaise with relatives and residents, providing financial information and explaining fee structures.
- Administer, reconcile, and record Petty Cash and Residents Funds.
- Provide required financial reports.
- Maintain and update the clocking system.
- Establish positive working relationships with other health care providers and stakeholders.
- Organise and maintain all office files.
- Promote continuous improvement and self-development in the role.
- Facilitate a positive cultural ethos at all levels.
- Perform assigned duties and projects to contribute to overall company objectives.
- Ensure efficient and effective resource utilization.
- Extend the highest level of hospitality to all visitors and residents.
- Possess knowledge of all Nursing Home products and services.
- Maintain confidentiality at all times.
