Position Summary:
To cover reception desk, receiving visitors in a polite, pleasant and helpful manner, collaborating closely with the visitor’s host and Security regarding any visitors to the site. To provide administrative services to all departments, as required.
Responsibilities:
- Full concierge service, receiving visitors in a well-mannered, pleasant and helpful manner. Informing Security of any visitors to the site
- To book flights, hotels and taxis and to keep adequate records of the same
- Keeping a log of overseas colleague visitors for HMRC and reporting out
- To book all conference and meeting rooms as requested and to check the meeting room diaries, to ensure all bookings are live. Track attendees as required
- To check & tidy all conference rooms, maintaining all stationery requirements and ensuring all electrical items are functioning correctly.
- To keep the electronic noticeboard populated with latest and relevant information
- Sending out communications to site, ensuring the information given is accurate, reads well and is within Company policy
- Processing the post via Royal Mail – prepare, sort and dispatch all incoming/outgoing mail
- To process Purchase Orders on the SAP system as well as doing the follow-up goods receipt
- Printing of logbooks
- Full administration of the Company Pool Car
- Right to Work checks and documentation for HR
Minimum Requirements/Qualifications:
- Excellent interpersonal skills and ability to deal with clients and VIP visitors to site with sensitivity
- High integrity, working with complete confidentiality
- A team player, flexible in approach and attitude and able to establish and maintain positive working relationships
- Flexibility to work across different ad-hoc projects
- Good working knowledge of full MS Office: Outlook, Word, PPT and Excel
- Be able to analyse and recognise problems and exercise good judgement with the ability to make sound decisions
- Good written communication skills
- Strong organisation skills
- SAP proficient
