Job Description

Job Purpose
To provide effective and efficient administration support for Student Services to maintain the effective running of the College of Arts & Humanities and its constituent Schools.
You will provide administrative and governance support to the academic staff with senior College roles. You will work directly to the College Head of Student Services and Head of Academic and Student Administration and Teams, but may be deployed across the College to meet operational need. Working alongside your student services colleagues, you will support the delivery of innovative research-led teaching to our students.
As a progressive and constantly evolving institution, the University implements new systems and adopts new ways of working, and over time the role holder can expect to be deployed in a variety of areas of the College to cover business needs. This will provide the role holder with the opportunity to acquire a variety of skills and experience.
Main Duties
1. To support and act as first point of contact for senior academic and professional services leads in the College and to provide effective and efficient communication and administrative support.
2. To provide support for the successful planning and delivery of events.
3. To provide the full range of administrative support for formal committees, informal forums and project groups.
4. To provide general administrative support for routine University and College processes and business, using relevant on-line systems.
5. To participate, as appropriate, in relevant groups and networks, both internally and externally, to build effective working relationships to enable effective internal communication.
6. To provide an excellent service to stakeholders including students and staff, and to contribute to adapting service standards to ensure continuous improvement.
7. To be committed to the University’s Equal Opportunities and Diversity Policy, together with an understanding of how it operates within the responsibilities of the post.
8. To represent the College in, and support the delivery of, graduation ceremonies as required.
9. To contribute to ensuring a healthy and safe working environment.
10. Any other duties appropriate to the grade as may be assigned by the Line Manager.
Knowledge, Skills, and Qualification
Knowledge and Skills
Essential:
A1 Excellent communication skills, the ability to effectively liaise with colleagues and other stakeholders; and a clear understanding of the importance of customer service.
A2 Excellent written communication skills and the ability, in particular, to write minutes or notes of meetings.
A3 Strong administrative, analytical and numeracy skills and the ability to interpret data.
A4 Excellent IT skills and the aptitude to develop a good working knowledge, as required, of relevant University software and databases.
A5 Excellent administrative and organisational skills and an ability to prioritise and to work pro-actively and independently.
Desirable:
B1 Experience of University or similar systems e.g.Mycampus, Agresso etc.
B2 Project support skills.
Qualification
Essential:
C1 Either: Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role. Or: HNC, VQ3, Higher Grades or equivalent, and experience of personal development in a similar role.
Experience
Essential:
E1 Significant experience in a relevant role with evidence of progression and development gained from relevant work experience.
E2 Experience of dealing effectively with a wide range of stakeholders or customers at different levels of an organisation.
E3 Experience of providing an excellent customer service, responding appropriately to requests and queries, and liaising with a wide variety of colleagues and key contacts to enable the delivery of team objectives.
E4 Experience of clerking committees OR of supporting project groups.
Desirable:
F1 Experience of dealing of providing a service to students and an excellent understanding of the importance of the student experience in a university context.
Terms and Conditions
Salary will be Grade 5, £25,138 – £29,605 per annum.
This post is full time (35 hours per week) and open ended.
