Apprenticeship context and summary

During this apprenticeship you will learn how to carry out a variety of tasks as well as providing excellent customer service to all visitors and tenants at the Research Park.

This apprenticeship is an exciting opportunity to work within University of Birmingham Enterprise and is designed to provide a wide range of facilities services experience.

You will learn to support the effective running of the busy Facilities Office providing support across all facilities comprising a broad variety of activities. The role is necessarily broad in scope and the post-holder will have the opportunity of experiencing and learning about every aspect of the Bio Hub facility including space management, building maintenance and health and safety. The role will include day-to-day office duties, facilities assistance, and basic project administration with scope to learn new areas as the apprenticeship progresses.

The post- holder will benefit from working in a highly supportive environment with access to peers and senior colleagues who will mentor and encourage personal and professional development.

Main duties the apprentice will learn

  • Delivery of prompt and efficient welcome for tenants’ staff and visitors, telephone customers, contractors, and delivery personnel.
  • Assist with cover for the reception desk as well as supporting development of the reception desk rota.
  • The monitoring of the site entrance, intercoms, telephones, radios and security systems.
  • Assisting with locking up duties as directed.
  • Secure and accurate handling of deliveries and the distribution of mail.
  • Administrate meeting room usage and assist meeting room users with the use of AV equipment.
  • Assist colleagues in the booking, planning and setting up of rooms and equipment for special events and meetings.
  • Record repairs or maintenance requests on the site database, ensuring issues are escalated promptly.
  • Carry out basic regular building checks, recording any issues.
  • Assist with ad-hoc janitorial tasks such as replenishing washroom stock, vacuuming, mopping, tidying up stock cupboards.
  • As directed, take on health and safety roles to assist the team e.g. making areas safe and putting safety barriers in place.
  • Assist with routine weekly fire alarm tests and bi-annual evacuation drills.
  • Ensure accidents are reported using recognised procedures and completion of appropriate records and shared with relevant parties.
  • Carry out additional tasks as required.
  • You will be expected to treat everyone with dignity and respect, supporting equality and valuing diversity.

Required Knowledge, Skills, Qualifications, Experience

  • GCSE or equivalent at grade C/4 or above in Maths and English preferred
  • An interest in a career in Facility Services
  • Ability to follow and work in line with instructions, with good attention to detail
  • Ability to organise and plan own work
  • Ability to work as part of a team
  • Ability to work with customers and colleagues from diverse backgrounds and offer a good service regardless of others’ differences.
  • Ability to learn and understand how diversity considerations can affect own area
  • Good communication skills
  • Co-operative, helpful, flexible attitude
  • Willingness to undertake a wide range and variety of facilities tasks.
