Job Purpose
The post holder will be responsible for administrative duties within HMP & YOI Grampian working within the Finance & Administration Department.
Responsibilities
Provide an efficient and effective service in the handling of prisoner’s personal cash (PPC) being sent in via Royal Mail or email via BACS, and ensuring all monies are accurately recorded on the Prisoner Records System (PR2)
Ensure the accurate recording of all prisoner details in relation to in-cell telephone usage, checking relevant sheets and conducting security checks, prior to inputting details to the Prisoner Records System (PR2) Also conducting monthly checks ensuring details are correct and up to date.
Process prisoner visitors’ sheets by ensuring all names/addresses are correct, and conducting the relevant security checks, prior to inputting to the Prisoner Record System (PR2)
Ensure the establishment and prisoner newspapers are dealt with timeously.
Carry out any other relevant administrative duties, which could include minute taking, processing prisoner wages, and assisting with in-house preparation and distribution of prisoner retail items (Canteen) involving the movement of physical stock.
Represent the establishment in a professional manner through daily contact with SPS staff and outside agencies.

Qualification Requirements
Minimum of two National 5 (or equivalent) qualifications, including English and Mathematics/Arithmetic or relevant experience gained in a similar role and/or environment. (Essential)
Knowledge, Skills and Experience Requirements
Demonstrate good communication skills, evidencing what type and how used. (Essential)
Ability of prioritising workloads and attention to detail, whilst working to departmental deadlines. Outlining examples. (Essential)
Competent in the use of MS Office Packages (Including Microsoft Outlook, Word and Excel) (Essential)
Awareness of GDPR and the requirement for confidentiality in line with SPS guidelines. (Desirable)
