Lead Facility Assistant
You’ll be:
- QFM Facilities Helpdesk
o Tracking the progress of any Event request or order from initiation through to completion.
o Responsible for Creation of configurable reports detailing maintenance and services related activities, service, and performance.
- Hybrid-Hero Local Champion
o Managing users, teams, locations, meeting rooms, carparks etc.
o Responsible for maintenance of floor plans for the location on the portal.
o Managing meeting rooms, requests, and amenities on request. Issue usage reports on request.
- General administration
o Handling daily Brentford London office operations/BAU activities
o A General point of contact for staff, contractors & clients.
o Organizing filing systems & updating office databases
o Filing and record keeping.
o Progressing and activity reporting.
o UK Switchboard: answer, transfer calls and take and relay messages.
o Processing of couriers & post.
o Liaise with building management as required.
- Finance
o Handling Office purchasing liaise with suppliers, raise POs, handle invoicing disputes / late payments, invoice coding.
o Responsible for H&S training, stationery, ad hoc items, building and H&S equipment as required.
o Responsible for raising expenses.
- Access Control
o Maintaining database: issue and deactivate passes.
o Overseeing site access, security, and visitor management.
- DSE Assessments
o Handling Issue and track corporate completions for the location.
- Onboarding/Offboarding
o Providing Day 1 support: where required, issue access pass, create hybrid hero account and assist with bedding in period where required.
o Deactivate access control & Hybrid hero account for leaves + any other related records.
You’ll have:
Job Specific Knowledge:
Proficient using in-house systems: Hybrid Hero, EMS, GBS, People link, People Success, Work Rite.
Education – Qualifications, Accreditation, Training:
First Aid, Fire Marshal, Defib Operator
HSE Capability:
- Office based near miss/hazard reporting.
- Supporting audits as required :
o ISO 14001:2015 – Environmental Management Systems – Requirements with
o Guidance for Use
o ISO 45001:2018 – Occupational Health and Safety Management
o Systems Requirements
o ISO 9001:2015 – Quality Management Systems – Requirements
o ISO 31000:2009 – Risk Management – Principles and guidelines.
IT Skills: Intermediate-Advanced in Microsoft Packages/Office 365
People Skills: Good communicator, Customer service & interpersonal skills
