JOB DESCRIPTION

An exciting opportunity has become available for a Tendering Co-ordinator to join our busy Tendering team.

Internally referred to as a Tendering Specialist, the post holder provides support to the Tendering Department for all products and related Service activities. This is a wide ranging role dealing with the preparation of commercial tenders to meet the customer requirements. The role will include providing full support to the sales process whilst interfacing with the wider tendering team and other JDR departments.

Reporting to the Tendering Manager, your main responsibilities will be:

  • Assist with the sales enquiry and tendering process from receipt of “EPIC” enquiry through to order acceptance while dealing with customer enquiries, deadlines and requirements during the bid stages.
  • Co-ordination and accurate preparation of all necessary tendering documentation involved during the bid process prior to obtaining management approval and submittal in a timely manner.
  • Communicate with and coordinate timely input from all necessary internal departments to assist with the tendering process.
  • Co-ordination of client clarifications and submission of responses, including attending customer meetings as required.
  • Responsible for the maintenance and development of data and information through the use of JDR bid management tools in accordance with Standard Operating Procedures.
  • Support the Tendering Department, providing regular and ad hoc progress reports and preparing management information.
  • Support Sales Department by collating and issuing documentation associated with “Pre-Qualification” process, usually prior to the “EPIC” stage.
  • Ensuring all tender content complies with JDR’s internal procedures, rules, and design manuals, or obtain approval to proceed against these from the necessary authority.
  • Identifying and recording potential risks and seeking guidance from relevant departments to manage or mitigate.
  • Assisting the order acceptance and handover process, through the review of customer purchase orders and engaging the relevant departments prior to handover to the project team.
  • Liaison with the nominated Project Manager and/or Service Department to support the tendering process when required.

 

JOB REQUIREMENTS

As the ideal candidate, you will have practiced in tendering principles with strong administrative skills. You should have good communication skills, together with the ability to work calmly under pressure, prioritise work load and work to tight deadlines whilst paying attention to detail. In addition to this, you will possess a knowledge of current ERP, CRM systems and the Microsoft Office Package software. You will hold a formal commercial qualification or demonstrable experience in a previous commercial role.
